Rate Descriptions and Criteria


Below you will find information on the qualifications for specific registration types.

ACADEMYHEALTH MEMBER RATE
Active members of AcademyHealth receive a discounted registration rate. Membership must be current at the time of the meeting. Renew your membership or join AcademyHealth to receive the discount. If you have questions about membership, call Member Services at 202.292.6700.

AFFILIATE MEMBER ORGANIZATION
AcademyHealth organizational affiliates receive discounted rates for up to 5 individual registrants for affiliates, 10 registrants for supporting affiliates, and 15 registrants for contributing affiliates. To register online, select the individual, non-member rate, and apply your organizational affiliate discount code to receive the organizational affiliate rate. Or, please email or fax the Organizational Affiliate registration form to registrations@academyhealth.org.

NEW PROFESSIONAL
New professionals must be within one year of graduation from a master's or doctoral program. The individual must be a current new professional member or join AcademyHealth prior to registering for the ARM.

FELLOW
Fellows include clinical fellows and post-doctoral trainees appointed to positions granting a stipend and allowing for advanced study or research at an academic or training institution. Fellows do not include faculty appointments or regular job appointments. Individual must be a current fellow member or join AcademyHealth prior to registering for the ARM.

STUDENT
Students enrolled full-time at the time of the meeting are eligible for the reduced student rate. You must include documentation of full-time student status (e.g., legible copy of student ID with valid expiration date or letter from department/program head) with the registration form. Attendees enrolled in fellowship programs do not qualify for the student rate. Individual must be a current student member or join AcademyHealth prior to registering for the ARM.

SPEAKER
Any speaker giving a podium presentation at the meeting must be an individual member of AcademyHealth. If a speaker is not a member at the time of registration, he or she will be charged a higher non-member speaker rate that includes individual membership for one year.

Poster presenters are not eligible for the speaker rate and must register for the conference at their appropriate rate. Poster presenters are not required to be AcademyHealth members. MEDIA REGISTRATION
Registration for ARM is complimentary with valid media credentials. Please contact Lauren Adams, AcademyHealth’s Director of Communications and Public Relations, for details.

Interest Group or Pre-Conference Seminar Registration Only


If you would like to register for an interest group session or pre-conference seminar only (and not the full ARM program) or you wish to add an IG session or seminar to your pre-existing ARM registration, please use this registration form. Indicate your selection and fax, email (registrations@academyhealth.org), or mail the form to AcademyHealth. Online registration cannot process interest group session only registration.

Registration Fee
Registrations will not be processed without proper payment. Read the registration payment policy. AcademyHealth Tax ID Number: 52-1260918

Receipts and Confirmations
Detailed receipts are available upon request. If you would like one, please send a request to registrations@academyhealth.org. Payment receipts will be sent to the email address provided on the registration form.

Cancellations
All cancellations must be received in writing or via email by May 1, 2019 in order to receive a refund, less a $100 processing fee. Registration fees will not be refunded after May 1, 2019 or for inclement weather situations. Registration fees for cancelled registrants may not be applied to future AcademyHealth meetings.

Substitutions
All substitutions will be assessed a $50 processing fee. Substitutions will be accepted only once per registrant and must include written notification from the original registrant and a completed registration form for the substitute participant. If a non-member substitutes for a member, the non-member rate applies. Requests should be sent to registrations@academyhealth.org.

Special Needs
Persons with disabilities or special needs should indicate any special requests during the online registration process or on the registration form, or send a description of any services needed to specialneeds@academyhealth.org.

Weather Policy
In the event of inclement weather, the Annual Research Meeting will not be cancelled. AcademyHealth is unable to issue refunds for cancellations due to weather.

Photo and Video Release
From time to time we use photographs or video of conference participants in our promotional materials. By virtue of your attendance at the Annual Research Meeting, AcademyHealth reserves the right to use your likeness in such materials.

**Hotel and Attendee List Scam**
We have been notified that scammers may be targeting our meeting attendees, sponsors, and exhibitors, attempting to sell attendee lists and solicit bookings at unauthorized hotels. AcademyHealth does not rent or sell email lists to third parties, with some exceptions consistent with accepted practices for most professional societies. See our privacy policy to learn more.

Please be aware of any messages coming from sources not affiliated with AcademyHealth. Avoid interaction with them. Valid emails come from @academyhealth.org or @academyhealth.mmsend.com.
 
Attendee Lists

  • No third party is authorized to distribute or sell any lists related to our events.
  • Statements claiming to offer our attendee lists are fraudulent.
  • We do, however, publish a list including full name and organization of all meeting attendees (no email address). This is only available on the AcademyHealth website.

Hotel Bookings

  • AcademyHealth does not have an official housing vendor and never sells contact information for our registrants to third parties.
  • Any emails or calls claiming to be booking hotel rooms on behalf of AcademyHealth are fraudulent.
  • All attendees traveling to one of our conferences should book their room or confirm the details of their stay with the conference hotel directly using the link and phone number on the conference hotel and travel page.

AcademyHealth Code of Conduct
AcademyHealth is committed to providing a safe, hospitable and productive environment for everyone attending our meetings and events. We are committed to providing a harassment-free environment for everyone, regardless of gender, sexual orientation, gender identity, ethnicity, religion, disability, physical appearance, or other group identity. As such, AcademyHealth prohibits intimidating, threatening or harassing conduct during or in connection with our meetings and events based on these and any other protected characteristics under applicable federal, state or local law. This includes but is not limited to stalking, intimidation, unwanted or inappropriate physical contact, unwelcome sexual attention, harassing photography or recording, and sustained disruption of events, as well as encouraging any such behavior by others. This prohibition applies to all participants, including attendees, speakers, staff, exhibitors, and volunteers. If an individual engages in any prohibited behavior as described in this Code, AcademyHealth reserves the right to remove the individual from the meeting or event without warning or refund, prohibit attendance at future AcademyHealth meetings and events, notify the individual’s employer, and/or take other disciplinary action against the individual and his/her employer. Retaliation for reporting prohibited behavior under this Code is considered a violation of this Code, as is reporting an incident in bad faith.
